Privacy Policy

Sphere Coach is a subscription service for licensed real estate agents, operated by Capture The Conversation, LLC ("we," "us"). This policy is our notice at collection and describes what we collect, how we use it, and the rights you have — whether you are a subscriber or a person whose information appears in a subscriber's contact list. What we collect

Account information — your name, email address, mobile number (if you provide it), and billing status. Payments are processed by Stripe; we never see or store your card details.
Content you provide — the information you share with the service to run your relationship practice: contact lists, notes about your professional relationships, activity logs, goals, and replies you send by email or text.
Contacts in subscriber lists — if a subscriber includes you in their contact list, we hold the identifiers and notes they provided about you (such as name, email, phone, address, and relationship history).
Appended data from licensed providers — we license consumer and property data from third-party data providers and append it to contacts in a subscriber's list. Categories can include property ownership and address, purchase date and length of ownership, estimated home value, mortgage, and equity, listing and transfer activity, investment or absentee ownership, and contact attributes. This data comes from licensed commercial data sources, not from you directly.
Service usage — messages exchanged with the service and basic technical logs needed to operate it.

What appended data is used for — and never used for

Appended data is used for one purpose: helping a subscriber prioritize and prepare conversations within their own professional relationships. It is never used — and subscribers are contractually prohibited from using it — to make decisions about credit, employment, tenant screening, insurance eligibility, or any purpose governed by the Fair Credit Reporting Act, or to decide who receives brokerage services or housing opportunities. Recommendations in the service prioritize timing of conversations only, and every recommendation is reviewed and acted on by a human.

How we use it

To provide the service: preparing your briefs, logging your activity, drafting your notes, and keeping your scoreboard.
To communicate with you about your account and subscription.
To improve the service. We do not sell your information, and we do not use your content to advertise to anyone.

Your relationship data is yours

The contact lists, notes, and records you build in Sphere Coach belong to you. You can export them at any time by asking, and if you cancel, you can take them with you. We do not share your relationship data with other subscribers or any third party for their own use.

SMS/Text Messaging (Sphere Coach)

When you subscribe to Sphere Coach and opt in to text messaging, we collect your mobile phone number and your consent record. We use them solely to send the coaching and account messages you signed up for: call-list reminders, scoreboard summaries, follow-up reminders, and two-way replies to messages you send us. Message frequency varies; typically 1–5 messages on business days. Message and data rates may apply.

No mobile information or SMS opt-in consent will be shared with or sold to third parties or affiliates for marketing or promotional purposes.

Text STOP to opt out at any time; text HELP for help or contact [email protected]. Opting out of SMS does not affect your subscription.

Who we share with

Only the providers needed to run Sphere Coach: payment processing (Stripe), email and text message delivery, hosting, and our licensed data providers — to match and enrich a contact record, we send the provider identifiers such as a name, email, or phone number, and receive appended attributes back. Each provider receives only what it needs to do its job. We do not sell personal information to anyone, and appended data is never shared onward, resold, or exported outside the service.

Your privacy rights

Depending on where you live (including under the California Consumer Privacy Act and the Colorado Privacy Act), you have the right to:

Know and access the personal information we hold about you, including the categories, sources, and purposes described above;
Correct inaccurate information;
Delete your information, including data appended from licensed providers;
Opt out of the sale or sharing of personal information — we do not sell personal information or share it for cross-context behavioral advertising, and if that ever changed we would provide an opt-out first;
Portability — receive a copy of information you provided in a usable format;
Non-discrimination — exercising these rights never affects the service you receive.

These rights belong to everyone whose information we process — subscribers and people in subscribers' contact lists alike. To exercise any of them, use our Privacy Choices form or email [email protected]. We verify requests using the identifiers you provide, respond within 45 days, and accept requests from authorized agents with proof of authorization. We also honor suppression and opt-out lists supplied by our data providers.

Retention

We keep your account information and content while your subscription is active. After cancellation, you may request export or deletion of your data at the email above, and we will honor it. Data appended from licensed providers is retained only while our provider agreements permit and is deleted when those agreements end or when a valid deletion request is received.

Who this service is for

Sphere Coach is a business service for adult professionals. It is not directed at anyone under 18, and we do not knowingly collect information from minors.

Changes

If this policy changes, we will post the updated version here with a new effective date and note material changes to active subscribers by email.
